Mike Ruth Heating & Plumbing Services Ltd is a “data controller” which means we are responsible for deciding how we hold and use personal information about you. We are required under data protection legislation to notify you of the information contained in this privacy notice.
This notice applies to both current and former clients and does not form part of any contract to provide services. We may update this notice at any time.
We are committed to protecting your privacy and security of your personal information and we ask you to therefore read this policy before providing us with any information about you or any other person.
This privacy notice describes how we will look after your personal information. How we will collect it, store it and use it both during and after your relationship with us, in accordance with the General Data Protection Regulation (GDPR).

The primary legal basis that we intend to use for the processing of your data is for the performance of our contract with you. The information that we collect about you is essential for us to be able to carry out the services that you require from us effectively.

Who do we share your personal information with?
In order to deliver our services to you effectively we may send your details to third parties such as those that we engage with for professional compliance, accountancy or legal services as well as product and service providers that we use to arrange plumbing products & services for you.
Product & Service Providers:
If you apply for plumbing & heating services through us, we will pass your personal or business details to the product provider where necessary.
Legitimate Business Interest:

Do we make solely Automated Decision Making about you or profile you?
Automated decision-making takes place when an electronic system uses personal information to make a decision without human intervention.
If an automated decision is taken on the basis of any particularly sensitive personal information, we must have either your explicit written consent or it must be justified in the public interest, and we must also put in place appropriate measures to safeguard your rights.
We do not take any decisions about you using automated means, however we will notify you in writing if this position changes.
Overseas Transfers
We will only send your data outside of the EU to:

Work with third parties who we use to help run your accounts and services
If we do transfer information to third parties outside of the EU, we will make sure that it is protected in the same way as if it were being used in the EU. We’ll use one of these safeguards:

Security
We have put in place measures to protect the security of your information. Third parties will only process your personal information on our instructions and where they have agreed to treat the information confidentially and to keep it secure.
We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.
How long we keep your personal information for
In principle, your personal data shouldn’t be held for longer than is required under the terms of our contract for services with you. However, we’re subject to regulatory requirements to retain data for specified minimum periods. We also reserve the right to retain data for longer than this due to the possibility that it may be required to defend a future claim against us.
In the absence of specific legal, regulatory or contractual requirements, any other personal information is kept for our baseline retention period – this is seven years.

You have the right to request deletion of your personal data. We’ll comply with this request, subject to the restrictions of our regulatory obligations and legitimate interests as noted above.

Accessing your personal information
Under certain circumstances, by law you have the right to:
Request access to your personal information (commonly known as a "data subject access request"). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it. Object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes.
Request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.

No fee usually required
You will not have to pay a fee to access your personal information (or to exercise any of the other rights). However, we may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances.
What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal information is not disclosed to any person who has no right to receive it.
How to withdraw consent
In the limited circumstances where you may have provided your consent to the collection, processing and transfer of your personal information for a specific purpose, you have the right to withdraw your consent for that specific processing at any time. If you choose not to provide certain personal information when requested, it may delay or we may not be able to perform the contract we have entered into with. you, or we may be prevented from complying with our legal obligations. It could mean that we need to cancel the service you have with us.

We’d like to send you information about our products, services and information which may be of interest to you.
We can only use your personal information to send you marketing messages if we have either your consent or a ‘legitimate interest’. That is when we have a business or commercial reason to use your information. It must not unfairly go against what is right and best for you.
